A trip from Chaos to Efficiency

A Never Ending Trip


nlike any trip, the journey you take to efficiency is a continuous one and will never end as there is always a process or a workflow that can be improved.

The only way to progress is to continue to go forward nonetheless keep an eye on your rearview mirror to avoid falling for the same mistakes again.

In the last five articles, I have shared my experiences in our effort to become more efficient and following is a quick recap of what we have covered. According to Merriam-Webster, efficiency “is the ability to do something or produce something without wasting materials, time, or energy." Based on this definition, and through trial and error, I have devised a four-step process of creating a more favorable business:

Declutter:

  • What: Create a process of tidying up your office clutter so to keep things organized in your workplace.
  • How: Dedicate a home for items in your workplace - then place items in their dedicated home the moment they land on your desk.
  • Why: It creates clarity in your workplace allowing you to focus on essential tasks and no more time wasted looking for things in a giant pile of unsorted items.

Prioritize:

  • What: Define the order for dealing with a set of tasks.
  • How: Create a to-do list of all tasks to be done - go over it again and order the list according to urgency, value, the effort needed and then set realistic deadlines.
  • Why: Prioritization is an essential process to achieving efficiency by helping you put away distractions and only focusing on what matters the most, your top priorities!

Delegate:

  • What: Assign a task of your own to another person in your team.
  • How: Choose the right tasks to delegate, the right people to delegate to and delegate in the right way by communicating precisely what needs to be done and the results expected.
  • Why: By choosing to delegate, you get to make best possible use of your time and in turn allow your team to grow and reach their potential.

Automate:

  • What: The process of digitally creating, collecting, storing, and processing office data to do basic repetitive tasks.
  • How: A little planning and utilization of many readily available online solutions and tools, managing most of your repetitive tasks can be simplified.
  • Why: Dealing with a lot of repetitive tasks can be overwhelming to a growing company - so the introduction of automation can help reduce stress in the workplace and increase efficiency within your organization.

Since we have already established that there no such thing as a “Perfect Plan,” it's vital to continue to tweak and improve your workflow based on your growing experience. Get your team involved in the process of making decisions as you will be surprised how much value an empowered team can add to your business.

It is important that you experiment so you can find out what works best for your business. Do not be afraid to make mistakes, as we can only progress by learning from the mistakes you make.
